Terms and Conditions

DentaVet Equine Dentistry Ltd is committed to providing the highest standard of veterinary dental care and treatment for your horse. We aim to provide fair charges and competitive fees. By accepting our services or purchase of goods, you the client contractually agree to the Terms of Business as detailed below:

OUR SERVICES

DentaVet comprises a Mobile Equine Veterinary Dental Practice, offering routine and advanced dentistry services for all your equine needs. We are committed to providing the highest level of care to our clients’ horses, ponies or donkeys, delivering a professional and caring service to you. Our Veterinary Surgeons are subject to the RCVS Code of Professional Conduct.

The nature of veterinary work dictates that there may be delays to routine appointments if an emergency situation arises. We therefore reserve the right to re-schedule or postpone routine appointments at short notice.

FEES AND CHARGES

All fees for servicesare as marked or notified at the point of purchase. Fees for services include our professional fees in respect of the veterinary services provided, along with the cost of any drugs, materials or consumables used in the provision of the services. Details of our fees are available on request and an invoice is provided for every consultation, procedure or transaction. Written estimates are also available on request. Estimates must be considered as approximate only, as the progress of any pathology or condition is not certain. 

Prices will vary depending on the treatment required by your animal. We reserve the right to apply additional professional charge for any procedure or examination that takes considerably longer than a standard examination.

Fees for Complete Oral Exam and Routine Rasping are as follows: £90 per horse for 1-2 horses on same yard, £85 per horse for 3-5 horses on same yard and £80 per horse for 6+ horses on same yard. Fees for all Non-Routine and Advanced Procedures can be discussed prior to booking.

Visits within 25 miles of the Practice are FREE of charge. Visits over 25 miles are subject to an additional charge determined by the distance travelled from the Practice. Discounts will available for shared visits between two or more clients at the same premises.

Out of hours calls and consultations will attract an additional charge depending on the time of day/night. Our Terms & Conditions of Business apply in full to all our out of hours calls.

PAYMENT

The Owner is responsible for payment of all Fees. Payment is due at the time of the consultation. We accept bank transfer or cash. We reserve the right to ask for full payment to be made by debit/credit card prior to any treatments being carried out or goods being supplied.

There is a “Pay on the Day Discount” of £10 available to all payments made on the same day as the consultation. Payment must be made before midnight in order for the discount to be applied.

If you become unable to pay your account according to the standard terms, this must be discussed with the veterinary practice as soon as possible. Please note that instalments or part-payments of any account may ONLY be sanctioned with the express permission of the Director of the Practice.

Overdue or non-payments accounts will be subject to an interest surcharge under Section 69 of the County Courts Act 1984. We reserve the right to transfer outstanding/unpaid accounts to a debt collection agency for recovery, and clients will be liable for all fees associated with such action. Any cash tendered that is found to be counterfeit will result in the original account being restored to the original sum, with a further charge of £25 being added in respect of bank charges and administrative costs, together with interest on the principal sum.

SEDATION

All horses examined by DentaVet will be given a small dose of sedation, which facilitates the detailed oral exam and provides a safe, controlled and thorough dental consultation. All horses will have a heart check prior to sedation to ascertain fitness for sedation and to determine the correct dose.

All routine dental packages are inclusive of a “standard” dose of sedation for your horse. Should your horse require extra sedation this will be subject to an additional charge.

CONSENT

All DentaVet clients must be registered with a primary vet practice. We may need to contact your registered practice for consent before we can undertake any dental procedures on your horse

As part of the ongoing treatment of your equine, our Veterinary Staff will recommend treatment plans and courses of action to promote their welfare. We will obtain your consent before undertaking any advanced procedure or course of treatment and will require you to sign and date our Advanced Procedure Consent Form. The Veterinary Staff will discuss possible treatment options before you sign the Advanced Procedure Consent Form or give consent.

PASSPORTS

All horses, ponies and donkeys are required to have valid passports, which must be available for Veterinary Staff to review and we strongly recommend that passports should be signed by the owner to confirm that the animal is not intended for human consumption.

INSURANCE

Please be aware that it is YOUR responsibility to settle your account on our normal terms, regardless of any insurance claims being made. Any insurance payments for veterinary fees must be made directly to DentaVet from the insurance company unless the balance for any insurance claim has already been cleared in full by our client, in which case our client can request that the insurance payments are made directly to them. Please read your policy carefully. It is the responsibility of the client to ensure that the terms of their contract with the insurer are not infringed and that they have suitable cover.

Any costs that are not covered by your policy must be settled under our standard terms, including the policy excess, insurance form processing fees (currently £15 per claim), excluded treatment items, unsettled claims, or if the costs of any treatment given exceed your insurance limit, etc. Insurance forms will only be processed after the policy excess, any excluded amounts and the £15 form processing fee has been paid to the practice.

CLIENT RECORDS

Client and clinical records, and other such similar documents (including, but not limited to, digital imaging results), are and shall remain the property of DentaVet. Copies of clinical records may be passed to another veterinary surgeon on request. We will not discuss or sell confidential records to any third party other than if you move surgeries or are referred to another veterinary surgeon.

LIABILITY

Our liability in respect of all and any claims, damages or losses arising in respect of the goods and/or services provided by us or arising in connection with attendance at any property by one of our vets shall be limited in accordance with our Professional Indemnity and Public Liability insurance cover. In the event of any uninsured claims, damages or losses our liability shall be limited to the value of the goods and/or services to which the claim, damages or loss relates.

COMPLAINTS & STANDARDS

It is practice policy to ensure that all complaints are dealt with swiftly and professionally. A complaint can be submitted in any form of verbal or written correspondence from a client (or other interested party), claiming dissatisfaction with respect to a member of staff or the overall service provided by the practice. We have a written Complaints Procedure available on request.

REFERRAL AND SECOND OPINIONS

Whilst DentaVet endeavours to provide the highest level of care for you and your horse, if you wish to request a referral to, or second opinion from, another veterinary practice we will, with your permission, forward on all clinical records promptly to that practice. If a case is referred to an external centre, payment is due directly to that centre in accordance with their own terms and conditions.
